About this role:

We are looking for a highly organized and detail-oriented IT Operations Coordinator to act as the central point of coordination between IT teams, End User Computing (EUC), HR, Marketing, Legal, Admin, Finance and other Business Units. The role involves managing onboarding and offboarding processes, software license tracking, procurement coordination, SOP documentation, and administrative support for IT operations.


Key Responsibilities

1. Cross-Functional Coordination

  • Act as the primary point of contact between IT teams, EUC, Aeries BUs for operational requirements.
  • Coordinate and follow up on IT-related tasks across departments.

2. Onboarding & Offboarding Management

  • Track and monitor employee onboarding and offboarding activities.
  • Coordinate asset allocation, account creation, access provisioning, and recovery.
  • Ensure timely completion of onboarding/offboarding checklists.

 

3. License Management

  • Maintain and update software license inventory sheets.
  • Perform regular license reconciliation and usage tracking.
  • Coordinate with vendors and internal teams for license renewals and procurement.

4. Procurement Management

  • Create and track IT procurement requests.
  • Coordinate with Finance and Procurement teams for approvals and order processing.
  • Maintain procurement documentation and records.

5. SOP Documentation & Record Management

  • Create, update, and maintain Standard Operating Procedures (SOPs).
  • Ensure version control and proper documentation management.
  • Maintain records for audits and compliance purposes.

6. Meeting Coordination & Documentation

  • Schedule meetings with stakeholders and internal teams.
  • Prepare meeting agendas and capture meeting minutes (MoM).
  • Track action items and follow up for closure.

 

 

7. Reporting & MIS

  • Prepare reports, dashboards, and presentations for management review.
  • Maintain trackers for assets, licenses, procurement, and operational tasks.

 

Required Skills

  • Strong communication and stakeholder coordination skills.
  • Excellent organizational and multitasking abilities.
  • Good understanding of IT operational processes.
  • Attention to detail and documentation skills.

 

Technical Skills

  • Advanced proficiency in Microsoft Excel
  • Good working knowledge of Microsoft PowerPoint
  • Experience with project management tools (e.g., Microsoft Project, Jira, Trello)

 

Qualifications

  • Bachelor’s degree in Business Administration, Information Technology, or related field.
  • 2–5 years of experience in IT operations coordination, PMO support, or administrative coordination.

Preferred Skills

  • Experience in IT asset management and license administration.
  • Knowledge of onboarding/offboarding workflows.
  • Experience in vendor and procurement coordination.

 

Reporting To

  • IT Manager / Head of IT / IT Operations Lead

  • Timely onboarding/offboarding completion
  • License compliance and reconciliation accuracy
  • Procurement turnaround time
  • SOP documentation accuracy and version control
  • Meeting action item closure rate
